Palm Springs

Operations Coordinator

Our client, located in Palm Springs, CA, is an innovative corporate travel management company. They are a highly skilled team of industry experts who provide a unique combination of specialized services to executives and investors of life science companies. They are seeking an experienced full-time Operations Coordinator (OC) to primarily support general bookkeeping and accounting functions speci c to the travel sales. Previous experience in the travel industry is not required.

 

Qualifications: 

  • Minimum 4 years of experience providing accounting and administrative support in a professional of ce environment – Demonstrated working knowledge of business accounting principles is required
  • 4 years minimum experience working with MS Of ce, including Outlook and experience with word processing, database man- Qualifications, and creating forms, spreadsheets, and presentations (will be tested prior to an interview)
  • Type at least 50 wpm, with a high level of accuracy (will be tested prior to an interview)
  •  Advanced computer skills with in-depth knowledge of keyboard shortcuts and internet navigation
  • Pro Qualifications to learn new software systems and processes quickly
  • Ability to multi-task and meet scheduled deadlines while maintaining quality and accuracy
  • Must be an independent customer service oriented individual with the ability to anticipate requirements and prioritize with
  • minimal supervision
  • Ability to think dynamically and nd creative solutions in complex situations
  • Excellent interpersonal , organizational, written and verbal communication skills are required
  • Capacity to handle con dential business and sensitive personal matters with discretion and diplomacy
  • Four year degree or equivalent experience is required

Responsibilities:

  • Assist with various accounting and bookkeeping procedures, account reconciliation, commission tracking, sales data process- ing, expense coding, payroll, maintaining vendors and clients in databases, ensuring appropriate approvals, running account- ing and sales reports, and performing other related duties
  • Process a variety of transactions including receipts, banking, back-of ce client invoice processing, vendor and supplier state- ment and invoice reconciliation and settlement, and credit card processing
  • Prepare and record a variety of reports and documents related to purchase orders, requisitions, statements, TRAMS entries, IAR/ARC settlements, online banking, corporate credit cards, merchant accounts, employee bene ts, bank credit products, security deposits, real-estate transactions, corporate security, IT, and other related activities
  • Manage and organize Outlook (mostly calendars and contacts) for sales team n Take company minutes and maintain corporate records
  • Assist with vendor relationships- outside agencies and travel suppliers
  • Other personal and business tasks as assigned; run errands as needed

Schedule:

40 hours per week. 830A-500P M-F

Holidays:

Sales Coordinator

Our client is located in Palm Springs, CA and is an innovative corporate travel management company. They are seeking a full-time Sales Coordinators (SC) who will provide service to the Executive Travel Consultants and their groups of clients. Candidate will be working in an exciting and fast paced work environment.

Qualifications: 

  • Minimum 1 year experience in a sales/marketing , customer service oriented position
  • 1 year minimum experience working with MS Of ce, including Outlook
  • Advanced computer skills with knowledge of keyboard shortcuts and internet navigation
  • Ability to learn and master technical aspects of products sold
  • Ability to learn new software systems and processes quickly
  • Minimum 45 WPM typing speed- tested

  • Work agency queues and procedures as required, including Quality Control, FlightWatch, SeatWatch, Priority Upgrade, PLT
  • Alerts, Check-ins, and others
  • Handle last minute requests from Executive Travel Consultants (even if after hours) as needed

Schedule:

40 hours per week. Position requires some weekends, holidays, and odd hours based on client demand.

Our client offers medical, dental, vision and life insurance choices and will cover 50% of medical, dental, and vision should the employ- ee elect to take any coverage. Paid Time Off (PTO)

After a 90 day training phase or introductory period, PTO can accrue to a maximum of three weeks (120 hours) per calendar year. Employees may use accrued paid time off for paid vacation leave, paid sick leave, paid holidays, or any other type of paid time off.

Holidays:

Due to the nature and demand of their clients’ service requirements, our client has adopted the policy of being open for business 365 days a year. In lieu of observing holidays, our client offers additional paid time off (already scheduled into our PTO bene ts) that may be taken during known holidays subject to approval. They do not observe, pay for, or recognize any holiday.

Business Consultant

Essential Functions, Duties and Responsibilities:

  • Uses various forms of marketing to produce 3-4 new quality appointments weekly
  • Methodical and strategic approach to sales and business development
  • Properly plans and executes sales calls
  • Meets minimum acceptable sales and activity levels
  • Builds proposals tailored specifically around the prospect’s pain
  • Develops effective relationships with centers of influence to supplement lead sources
  • Calls on prospective customers to explain benefits and value of PAEs service offering
